Reception

  • Head of Reception M/W - CDD

    RECEPTION

    • Welcome guests to the hotel throughout their stay
    • Manage calls, transfer them to the relevant departments
    • Check-in: Welcome the guest, complete the arrival formalities, present the hotel’s services, take care of luggage if necessary, accompany the guest to the room.
    • Inform guests about activities/events in the resort and its surroundings
    • Check guest invoices on departure (overnight rates, tourist taxes, additional services, bar and restaurant drinks, etc.)
    • Check-out: Check with the guest if the stay went well, collect the payment
    • Prepare a list of rooms to rent for the night porter with the rates and prepare the check-in cards for him rooms

    RESERVATION

    • Manage direct reservations in the presence of the customer / by telephone / by email, under the direction of the person in charge of reservations.
    • Create and send quotes
    • Enter the deposit received in the software and update the customer file
    • Monitor files, follow up if necessary
    • Take note of comments and ensure that they are respected (type of room, intolerance, special event such as birthday, etc.)
    • Check files on arrival, verify room allocation, rates, etc.

    MISCELLANEOUS TASKS

    • Planning management
    • Complaints management
    • Team management
    • Prepare the day’s forecast for the restaurant and the kitchen
    • Exchange information received during the day with the team (by keeping the instruction book up to date) and the various departments and transmit the instructions to the night watchman
    • Act as a link between the team and the head of reception
    • Participate in the training of the reception team (composed of 3 receptionists / 1 apprentice / 1 intern)
    • Manage complaints and conflicts
    • Handle emails and distribute work

    SEMINAR

    • Anticipate the organization related to the arrival of groups in liaison with the departments concerned
    • Prepare the displays
    • Inform the sales department when the group arrives and put them in touch with their contact
